Faculty Personnel Procedures Support

This site provides guidance, forms, and resources to support Montclair State University faculty as they prepare for reappointment, tenure, promotion, sabbatical, range change, and other personnel actions.

Whether you are initiating an application, mentoring a colleague, or serving in a review capacity, the materials collected are aimed to be helpful.  If you have feedback or suggestions on the page’s content or clarity, let us know at faculty@montclair.edu.

Personnel Procedures & Resources

Timelines and official templates for all personnel actions for Tenure-Track and Teaching Faculty are maintained on the Administrative Calendar, which is updated by the Academic Personnel Services Team (led by Mary Colon) every summer. Timelines are negotiated by the University and AFT Local 1904, and require careful attention by candidates and reviewers.

Almost all personnel procedures are executed through the Interfolio system. With some variation by process, the Inferfolio process begins with a case assignment by Academic Personnel Services.

Faculty Personnel Evaluator Resources

Faculty personnel actions are guided by Collectively Negotiated Agreements, found on the HR website. Several agreements (state and local) and additional MOAs govern these processes, and all reviewers – faculty committees, faculty leaders (chairs, associate directors of faculty, and school directors) are responsible for understanding and following these procedures and additional guidance or directives that may be embedded in department or school by-laws.

Each college/school dean has an appointed person – typically an associate dean – who is the first person that reviewers should consult when they have a question regarding procedures. When that person needs further guidance, they will seek out support from the Assistant Vice President for Personnel Services Mary Colon (procedures, contract questions, questions about the Interfolio platform) and Associate Provost for Faculty Affairs Emily Isaacs (questions about the review process, evaluation, or protocol).

Faculty personnel review requires utmost professionalism, conscientiousness, and confidentiality, and thus reviewers at every level should seek out opportunities to develop and hone their skills in this area.

Reviewer Resources

  • Reviewers should be familiar with the guidance provide by OFE and other offices as it relates to teaching, research, and service development, detailed in previous sections.
  • All university full-time faculty are expected to participate in the important work of peer observation of teaching, whether its review of adjunct faculty, TT faculty, or TF up for reappointment. Providing a cogent teaching observation that provides the reviewed faculty member with concrete information to support their continued development as well as judgment requires skill and practice, and is much aided by thoughtful consideration and discussion among colleagues.  These resources should also be helpfuL
